These terms cover every tour booked through vanphucsilkvillage.com. They are written to be read, not to be survived.
1. What you are booking
Every tour on this site is private. You travel with your own guide and your own car, and nobody is added to your group. Prices are quoted for the whole group of one to four guests, not per person, so the total you see is the total you pay. Five or more guests are quoted on WhatsApp.
We run two tours. The half-day tour covers Van Phuc silk village: a working loom house, the silk lesson, a hands-on workshop at Vun Art and the old village. The full-day tour adds the old village of Cu Da, the incense yards at Quang Phu Cau and lunch at an artisan home. Both include:
- a private air-conditioned car with driver, and hotel pickup and drop-off anywhere in Hanoi
- a licensed local guide who speaks fluent English, for your group only
- the loom house and every entrance or site fee on the itinerary
- the hands-on workshop and the materials, and the piece you make is yours to keep
- bottled water, and lunch on the full-day tour
The itineraries on this site are sample days. Any of it can be changed on request — a village dropped, a longer morning at the looms, a slower pace for small children — and before you book we confirm the plan and one all-inclusive price in writing. A changed route can cost more or less than the sample.
Not included: anything you buy for yourself in the villages, tailoring, drinks beyond the water we bring, travel insurance, and tips.
2. Who runs your tour
Van Phuc Silk Village sells and coordinates the tours on this site. They are operated on the ground with a Vietnamese partner holding an international travel licence, and your guide holds a current guide card. Your contract is with us: we are your single point of contact before, during and after the day, and you never have to chase a third party.
3. Payment
You choose one of two ways at checkout:
- The full price, online — by card or PayPal when you book, at checkout or through a payment link we send on WhatsApp.
- A 30% deposit online, the rest in cash — the deposit invoice reaches you on WhatsApp or by email, and the remaining 70% is paid in cash to your guide on the day, in US dollars or Vietnamese dong. Your confirmation states the exact balance, and the rate we use if you pay in dong.
Your booking is confirmed once the online payment has cleared; you then receive your pickup time and your guide’s name in writing. The price on the tour page is the whole price, so nobody asks you for money at a loom house, a workshop or a village gate.
We only take payment through this website’s checkout or an invoice sent from our own WhatsApp number or email address. If a message asks you to pay any other way, it did not come from us.
4. Cancellation, changes and no-shows
- Up to 3 days (72 hours) before your tour: cancel free of charge, for any reason. Everything you have paid goes back to your original payment method, normally within 5–10 business days depending on your bank.
- Within 3 days of your tour, including no-shows: 30% of the tour price is charged, because a guide, a car and your workshop place have been held for you and released for nobody else. If you paid in full, the other 70% comes back to you; if you paid the deposit, it covers the charge and nothing more is owed.
- Moving your date: free of charge up to 3 days before your tour, subject to availability.
On the day, your guide is in your hotel lobby at the agreed time and will message you on WhatsApp. If we cannot reach you within twenty minutes of that time, the booking is treated as a no-show.
5. Weather, closures and changes made by us
Rain does not stop this tour: the looms, the dyeing sheds and the workshop are all under roof. Heavy rain does flatten the incense yards at Quang Phu Cau, so on the full day we tell you the evening before and swap in a second village or a longer workshop.
If a loom house, the workshop or a village is closed on your date — a family event, a public holiday, Tet — we tell you before you set out and offer an equivalent replacement, a different date, or a full refund at no cost to you. We will never quietly drop a stop and hope you do not notice.
The Vun Art workshop is run by a co-operative of workers with disabilities and is booked ahead for each group; it pauses over Tet, when we swap in a longer session at the loom house.
6. What we ask of you
- be in the hotel lobby at the agreed time, or message us if you are running late
- tell us at booking about dietary needs, reduced mobility, or anyone travelling with you who is under five
- hold your own travel insurance — we do not provide medical or cancellation cover
- ask before photographing inside a workshop; these are homes and workplaces, and your guide will ask for you
- follow your guide’s instructions around looms, dye vats and drying yards
7. Children and accessibility
Children are welcome on both tours. Children under 5 travel free and do not count towards the group size; from 5 a child counts as one guest. The workshop suits about five years old and up with an adult helping.
The village lanes are flat and short, which makes the half-day tour manageable for most visitors with limited mobility. Some workshops have a raised door sill of about 15 cm and narrow doorways; the incense yards on the full day are uneven underfoot. Tell us what you need at booking and your guide will plan the day around it.
8. Limits of our responsibility
To the extent permitted by Vietnamese law, our responsibility for any claim connected with a booking is limited to the amount you paid for that booking. We are not liable for loss or damage caused by events outside our reasonable control, including weather, road closures, public holidays or the acts of third parties. Nothing in these terms limits liability for death or personal injury caused by our negligence.
